Our Process

How Booking Works

Six steps from "I want to book" to your transfer waiting on the runway. No hidden fees, no surprise rate changes, no third-party platforms between you and the resort.

Booking a Maldives resort isn't quite like locking in a city hotel through a chain website. The resorts we work with are independent operators on remote islands — most of them move at island time, not at the speed of a tap-to-book button. Confirmations can come back in minutes or take a day or two; seaplane carriers run on daylight-only schedules; reservation desks close over weekends and prayer times.

That's where we come in. The six steps below are how every booking with us flows — read through once so you know which moments need your action (names, deposit, balance, flight numbers) and which ones we handle for you. We'll keep you posted at every handoff in between.

From quote, to arriving at your resort

Every Maldives booking we make follows the same path. We confirm with the resort first, then ask you to pay — never the other way around — so you always know your room is secured before a deposit moves.

1
You confirm the booking you want

After we've sent your tailored quote and you're happy with the resort, dates, room type, and inclusions, you tell us to proceed. Nothing is charged at this stage — we just need your go-ahead. At the same time we'll ask for the full passenger names exactly as they appear on each passport. These are the names attached to the resort booking and the names used on transfer manifests at the airport, so locking them in at confirmation avoids change requests later.

Confirm as soon as you're ready

Your action: Send us your go-ahead + each passenger's first, middle, and last name exactly as printed on their passport. If flights are already booked, share the inbound and outbound flight numbers too.

2
We confirm with the resort

We confirm our partner rates with the resort and verify that your room is still available since we sent the initial quote. Typical turnaround is within 24 hours; sometimes a little longer over weekends, public holidays, or peak periods when reservation desks run slower. Once it's confirmed, the resort issues a booking reference number in your name — we forward it to you straight away so you can verify the reservation with the resort directly any time.

Typically ~24h · sometimes longer on weekends
3
Deposit locks in your price

You have 24 hours to pay the deposit. The deposit secures both your room and your quoted price — once it lands, the resort cannot move your rate, even if their seasonal pricing changes between now and your arrival.

Card or bank transfer · USD pricing

Your action: Pay the deposit within 24 hours — $200 USD per person on the reservation.

4
Balance payment

The balance is due 45 days before your arrival. If you book within that window, full payment is due up front. Peak-season exception: some Christmas / New Year and Easter bookings require full non-refundable payment 60 days before arrival under the resort's high-season terms — we always flag this explicitly in your quote.

Balance due · 45 days pre-arrival

Your action: Pay the balance 45 days before arrival — the remaining amount due on the booking.

5
Final reservation confirmation

Once we've confirmed your final payment, we send your final reservation confirmation — resort voucher, arrival instructions, and direct contact details for the resort. Usually within 24 hours of payment landing.

Confirmation · within 24h of final payment
6
Final flight details to us

Send us your inbound and outbound flight numbers no later than two weeks before departure. The resort uses these to book your transfer (seaplane or speedboat) and we email back the transfer confirmation with pickup time + meeting point. Earlier is better — especially on seaplane routes, where the most efficient transfer windows fill up first and a late flight detail can mean an overnight stop near the airport.

One thing worth knowing: the flight numbers we ask for are your international flights into and out of Malé (MLE). The onward seaplane to your resort doesn't have a passenger-facing flight number — once your transfer is booked in, a local airline representative meets you at the seaplane terminal and walks you through to your next available departure. That's why we don't quote a seaplane flight number back to you; the booking is by route + slot, not by ticket.

Flight numbers · 2 weeks pre-departure (earlier is better)

Your action: Send us your inbound and outbound flight numbers.

Your booking, protected at every step

The sequence above isn't just a workflow — each step is also a guardrail. Here's what each one protects you against.

Resort-direct confirmation

You receive the resort's own reservation number, in your name. Contact the resort directly any time to verify your booking with them — no need to take our word for it.

Price locked at deposit

Once your deposit is paid, the quoted price is yours — resort rate changes, peak-season surcharges, or exchange-rate shifts can't move it.

24-hour reservation hold

The reservation is held in your name while you arrange the deposit. No pressure to pay immediately at the moment you confirm.

Confirmation within 24h of payment

As soon as final payment is confirmed, your voucher, transfer details, and arrival instructions go straight to your inbox. No waiting for "processing".

Card payments processed by TravelPay

When you pay by card, the transaction runs through TravelPay — Australia's specialist travel-payments platform — under their PCI/DSS Level 1 certified infrastructure. Frequently asked

When do I need to pay the deposit?
Once we've confirmed your booking with the resort, your reservation is held for 24 hours while we wait for the deposit. The deposit locks in your price — anything that moves at the resort end (seasonal pricing, rate changes) won't affect your booking once the deposit lands.
When is the balance due?
The balance is due 45 days before your arrival date. If you're booking within 45 days of travel, full payment is required up front. Peak-season exception: some Christmas / New Year and Easter bookings require full non-refundable payment 60 days before arrival under the resort's high-season terms — we always flag this explicitly in your quote, never in fine print.
What currency are prices in?
All pricing is shown in USD. Payment is processed by our Australian banking partner; you'll see the equivalent local-currency amount on your card statement based on the exchange rate at the time of the transaction. We confirm the live conversion rate before each payment so there are no surprises.
When do you need my flight details?
We need your inbound and outbound flight numbers no later than two weeks before arrival, so the resort can book your transfers (seaplane or speedboat). Earlier is better — sending flight details as soon as they're confirmed lets us lock in the most efficient transfer time, which matters more than people realise on seaplane routes (some have strict daylight cutoffs).
When do I get my travel documents?
Once we've received and confirmed your final payment, your full travel pack — resort voucher, transfer confirmation, contact numbers — is sent within 24 hours. Earlier if we can.
How do I know LuxAtolls is a legitimate operation?
LuxAtolls is an Australian-registered travel business specialising in the Maldives. Bookings are made directly with the resort under your name; the resort issues their own confirmation number which we forward to you immediately. You can verify any booking with the resort directly at any point in the process.
What if I need to change my dates?
Date changes depend on the resort's own change policy plus where you are in the timeline. Before deposit: usually straightforward. After deposit: most resorts allow date changes up to a certain point with a fee or rate difference, but every property is different. Get in touch as soon as you know — we'll work it through with the resort directly on your behalf.
